Decide what the finished work looks like
For a project tracker, success might mean that each person can update assigned information without changing the structure. Notion documents database-specific access rules that support that kind of workflow. For a proposal, success might mean delivering a readable page or an exported document to someone who never enters the workspace. Craft offers document sharing and several export formats. Neither example establishes a universal winner. Start with one deliverable from your own work, define the required output and test the smallest set of features that produces it.

Notion's personal Free workspace allows unlimited blocks but applies a per-file upload limit. A workspace with multiple members has different block constraints. Craft Free currently lists 1,500 total blocks, 1 GB storage and a 25 MB upload cap. Counting documents alone will therefore not predict how long either free workflow lasts. A short document can contain many blocks, while a small collection of large PDFs can reach a storage limit first. Try the actual material you use and track which limit matters before selecting a paid tier.

The live Notion retrieval returned GBP with insufficient billing context to establish a current US charge. Craft's help page gives standard dollar prices, while a fresh US-targeted pricing retrieval showed different promotional-looking monthly equivalents. Its website and help also describe storage differently: unlimited wording on one page and finite per-space limits on the other. These are reasons to verify checkout, not reasons to choose an attractive number and call it current. Compare the annual total, renewal conditions, actual account count and applicable storage limits before committing.

Notion's downloaded-page mode works in desktop and mobile apps rather than browsers. Craft documents offline operation across platforms, but Apple apps and its web-based clients behave differently. On Windows, web and Android, Offline Mode must be enabled and documents opened first. Several actions still require a connection. Do not generalize from one successful laptop session to every other device. Make a small set of notes and attachments available, then check the exact tasks you expect to complete without internet. That rehearsal is recommended here but was not performed in this documentation review.

Notion exports pages and workspace content, but an export does not recreate the running workspace automatically. Craft supports document exports including Markdown and TextBundle, while bulk export is restricted to Mac and iPad in its current guide. Its web TextBundle importer is also unavailable. For someone working only on Windows, those details may outweigh a preferred layout. Test a real handoff: open the exported document elsewhere and check links, headings and attachments. For a long-lived archive, also establish a repeatable backup route that is available on hardware you actually own.

Use Notion when a document is one part of a broader shared process and the database structure earns its maintenance. Use Craft when your central task is writing and delivering documents, provided its current platform limits fit. Do not pay for a complicated setup simply because you may need it one day. Revisit the decision only when a recurring task exposes a concrete limitation that another tool solves.
