Profile reviewed 17 Sept 2026 · Documentation comparison checked on 17 September 2026. Official product pages and help articles were read live. No hands-on app trial or speed benchmark was performed. Recommendations are editorial deductions from the documented workflow and constraints. Sharing guidance was rechecked on 26 October 2026. The new member-invitation warning retains a disagreement between two FAQs on the same official page; no account invitation or billing test was performed.
Notion combines documents with databases, permissions and shared workspaces. It is a useful shortlist choice when notes need to become a team process: a project tracker, an internal knowledge base or a set of pages clients can access. Its current offline support is more capable than older comparisons suggest, though downloaded pages and online features remain distinct. A personal Free workspace has different constraints from a workspace with multiple members. Before choosing a paid plan, check the actual seat count, attachment size and AI entitlement you need. Exporting preserves useful content but does not recreate the working workspace automatically.
